The IMS team was on-site in a mid-Atlantic city setting up for a five-day conference offering more than 60 educational sessions for 1500+ attendees.
CHALLENGE: While our team was loading in the day before the conference was scheduled to begin, the freight elevator broke down. This elevator was the only way to bring equipment to the ballroom level of the venue. We learned that it was expected to be down for at least 24 hours, meaning there was no way that we would be able to get the equipment to the ballroom level, setup, and begin the conference on time.
SOLUTION: The IMS senior project manager, event planner and venue convention service manager (CSM) gathered to review all available options, including relocating the general session. An exhibit hall that did not require the use of the out-of-service elevator was available, but it was a much larger space than what was needed for the session. In less than one hour, our team redesigned all audio, video, and lighting needs to properly fit the new, larger space. The client approved the new plan, load-in resumed, and the general session started on-time the following day.
