This organization had been working with one event staging company for many years for their Global Leadership Meeting and wanted to take it to the next level. Their meeting planning company allowed IMS to bid on this conference, their largest annual event, to be held in Orlando, Florida for ten days. The client also needed a whole new stage set as their previous hard-set stage was destroyed in shipping after a previous conference. They also desired an event staging partner who could assist them to take their general sessions, breakout sessions and multiple awards presentations to the next level with upgraded audio, video, lighting, staging and content creation in Orlando. They also needed someone to video record the sessions and provide editing as well.
This client required a savvy show production support partner to assist them in planning and executing a fresh, engaging, and educational conference for over 1,800 people for 10 days and set the stage for future partnership for other conferences. They also needed a company who could work seamlessly with their external producer who had done the show many times in the past. Their objective was to use modern technology and sophisticated staging for the entire conference but make notable changes for each general session and both awards presentations.
IMS met with the planning team several times to get a full understanding of their production requirements and provided a complete proposal including all equipment, staging, lighting, video production and décor rental for this conference. Once the proposals were reviewed, the leadership team at IMS met with the client stakeholders to discuss creative event staging concepts and ideas for their October conference. IMS prepared several iterations of event staging designs and pricing for all facets of the general session and breakouts while working closely with the producer. IMS also created precise 3D renderings of ballroom and external spaces for all events to give the client full exposure to review concepts prior to on-site execution. The final design utilized a 45-ft blended center screen with two angled screens separated by cyc curtain to display various branded gobos and lighting effects. IMS also created custom animation pieces to enhance their content for the blended screen and full use of picture-in-picture technology.
All of the client leadership, planning team and attendees were overjoyed at the completion of the conference and looking forward to the next event in San Diego.
