The Advisory board meeting was a 1 day meeting that hosted approximately 50 attendees plus event management. The purpose of the Advisory Board meeting was to provide the leaders in the real-estate and retirement division with the needed training and up-to-date trends in their respective discipline. The meeting provided the attendees an opportunity to discuss how the sales and financial advisors would be trained and how to present their latest offerings to their clients.

Client Needs

The client needed to ensure that clear audio support would be provided and that the video recording would be of a high quality for future training purposes.

IMS Solution

IMS’s main goal was to clearly understand the purpose and desired outcome of the advisory board meeting.

We needed to understand what were the key success factors for the client before we could develop a scope of work that would accomplish their goals.

The first area we focused on was the audio support portion of the meeting. The need was to capture each attendee as they presented their thoughts. IMS utilized digital push-to-talk microphones for each attendee, a lavaliere microphone for each presenter and 2 podium microphones for back-up.

The second area IMS focused on was the lighting and video capturing. The meeting did not require any scenic lighting but a well-lit podium was crucial to adequately capture video of the presenters. IMS used 4 Leko stage wash lighting fixtures and an HD JVC studio quality camera.

Finally, the presentations were designed with a large amount of content per side. The content needed to be clear and large enough so all attendees could see the content without disruption.

IMS utilized a 7000 lumen projector on a 7.5’ x 10’ screen. The presenters were able to utilize a downstage monitor for their notes and slide advancer to advance their slides.

Results

The advisory board meeting went very well and the client was extremely happy. The audio support was excellent along with the video recordings which utilized for training their staff.
